About The Role

As a key member of the team, you’ll not only provide high-level administrative support to the Head of Engineering but also play a crucial role in managing office operations. From overseeing facilities and vendors to fostering a collaborative workplace culture, you’ll ensure the Bellevue office runs efficiently and employees have the resources they need to thrive. Responsibilities

  • Office Operations & Facilities Management: Oversee day-to-day office operations, ensuring a productive and well-organized office environment. Manage office supplies, vendor relationships, and facility needs, proactively resolving any issues.
  • Workplace Experience & Culture: Foster a positive and engaging office culture by coordinating team events, celebrations, and employee experience initiatives.
  • Calendar & Scheduling: Manage the Head of Engineering’s complex calendar, coordinate meetings, prioritize appointments, and optimize time efficiency.
  • Meeting Preparation: Organize materials, draft agendas, and prepare presentations to ensure executives are well-equipped.
  • Travel Coordination: Plan and manage detailed travel itineraries, including flights, accommodations, and logistics, proactively addressing any issues.
  • Administrative Efficiency: Implement processes to streamline workflows, enhance productivity, and support overall business operations.
  • Project Assistance: Support key initiatives to deliver high-quality projects.

Required Qualifications

  • 4+ years of experience as an Executive Assistant to C-suite executives.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Proven ability to manage complex calendars, travel logistics, and high-level communications.
  • Exceptional organization, time management, and attention to detail.
  • Strong interpersonal and communication skills to build rapport across teams and external partners.
  • Ability to multitask in a fast-paced environment with shifting priorities with a high sense of urgency.
  • Proficiency in Google Workspace, Slack, and expense reporting tools.
  • Discreet, proactive, and adaptable with a problem-solving mindset.
  • Experience in project management and event coordination is a plus.

Full time in office, Bellevue, WA. Monday - Friday, 8:30 AM start.
